      The role

      An exciting opportunity has arisen for a Property Administrator/Surveying Executive to join our Group Portfolio Team based at Sceptre House in Bamber Bridge, Preston. Reporting to the Group Portfolio Managers, you will be responsible for providing Administrative and Property Management support to enable the effective Asset Management of the Investment Property Portfolio. We are in a fortunate position that we can use our commercial approach for a social purpose for the local communities in which we live and work. 2022 is set to be an exciting year; this role is critical to our ongoing success.

      The main duties and responsibilities will include but not be limited to: 

      • Input data and maintain records on Qube property management database
      • Liaise with Accounts Department to ensure rent demands are correctly issued and rent payments properly allocated
      • Liaise with tenants and Accounts Department to ensure any arrears of rent or other charges are fully recovered including instructing bailiffs to recover
      • Provision of property reports from Qube providing details of rent reviews, lease expiries, vacant premises, arrears etc
      • Maintenance and reconciliation of annual service charge budgets
      • Implementation of new service charge budgets including issuing of accompanying correspondence to tenants
      • Maintenance of property management files including copying of leases and other legal documents
      • Maintenance of property management trackers in excel and word
      • Liaison with solicitors and letting agents in a supporting role to Property Asset Manager
      • Provide cover for FM Helpdesk as and when required
      • Site visits/inspections
      • Pursue personal development of skills and knowledge necessary for the effective performance of the role
      • Comply with Company rules, policies and procedures at all times
      • Carry out any other reasonable tasks which may be required from time to time and to enable the company to remain adaptable to changing markets and needs

      The candidate

      The ideal candidate will have good working knowledge of real estate property management databases; it would be preferable if you have experience of working with Qube property database. It would be beneficial if you have basic knowledge of leases, landlord and tenant responsibilities. In addition, you will be PC literate and fully conversant with Microsoft applications in particular having good knowledge and understanding of Excel and Word. It goes without saying that you will have excellent communication skills both verbal and written and converse with ease. It is essential that you have good numeracy skills along with excellent attention to detail ensuring accuracy in the work you produce. It would be beneficial if you have a working knowledge of Help Desk software packages. Business Administration/Customer Service knowledge/experience is also required.
